Overview:
IDEAS xLab champions inclusion and belonging through creativity, art, and action, in support of a more healthy, just, and hopeful society.
The Project Assistant will work directly with IDEAS xLab CEO and CCO, with a primary focus on (Un)Known Project – our ongoing effort focused on using arts installations and experiences to highlight and uncover the names, stories, and history of enslaved people in and beyond Louisville, KY.
Reports to: IDEAS xLab CEO and CCO. Supervises: No supervisory responsibility
Type: Independent contract position; benefits not included
Project Assistant Scope of Work:
Support project communications with partners, artists and community members by sending and receiving communications via email, text, and through other methods as needed.
Support the creation of specific strategies for effective and collaborative execution of projects.
Maintain contacts with potential stakeholders who may be interested in investing in IDEAS xLab’s work and projects, and tracking outreach to donors to solicit support for the organization’s various efforts.
Supervise tasks assigned to project contractors as instructed by IDEAS xLab leadership.
Maintain project calendar, installation schedule, and events calendar, communicating changes with project leaders on a timely basis.
Maintain records per grant requirements of all information related to project for documentation, timely implementation, and presentation to project partners, for grant reports, and project historical documentation.
Draft project proposal ideas and grant reports and present them to the directors for input and finalization.
Support reconciling the project budget on a monthly basis and ensure that it meets all necessary protocols.
Oversee Communications and social media strategy development and implementation.
Support (Un)Known Project website management and ongoing edits/approval of content.
Support scheduling of meetings with partners, artists and community members and send out appropriate calendar invites / meeting instructions and agendas.
Perform other duties as assigned
This contract position is evaluated for overall job performance, for effectiveness in the areas of timeliness, communications, public satisfaction, and efficiency, and ability to work collaboratively with a variety of partners and community members.
Qualifications:
2-3 years of experience as a project assistant and/or with project management.
Experience with social media content creation and strategy development.
Self-motivated with a proactive and adaptive mindset.
Organized and timely to ensure meetings, project components and deliverables take place on schedule in an effective manner.
Based in Louisville, KY or the surrounding area (Position will be hybrid including both remote work and in-person activities in and around Louisville, KY based on project needs, events, site visits and public art installations). Project Assistant will have access as needed to the iHub co-working space.
Experience with / interested in community-engaged work that includes working with nonprofits, artists, community leaders, and governmental agencies on projects.
Experience with website editing/maintenance (not required, but a plus).
Excellent skills with Microsoft Word Office, Excel, PowerPoint, OneDrive Canva, etc.
Education: Minimum High School Degree / GED or comparable life experience in roles related to the position.
Reliable transportation to and around Louisville, KY and ability to transport project supplies as needed (t-shirts and apparel, signage, handouts, etc.).
Contractor should have a laptop, access to wifi and cell phone capable of completing work. If applicant does not have access to these items, please include that information in your video.
